How do I make hotel reservations?
You can visit the Travel Page anytime to check hotel information. Through our official housing partner, OnPeak, we provide reduced hotel rates and travel discounts for your trip to Louisville. 2016 travel information will be available in July 2015.
Can children attend the event/show floor?
You must be 18 years or older to attend any portion of Coal Prep.
How can I contract a booth for Coal Prep?
You may contact Sam Posa (1-800-525-9154) directly to inquire about booth selection, or you may visit the Become an Exhibitor section of the site for a Step-by-Step process, contracts, etc. Booths are assigned on a first-come, first served basis.
How do I become a speaker?
If you are interested in speaking, you must submit an abstract/proposal to Florence Torres. Find out more on the guidelines here.

Will there be handouts for the sessions?
Most session handouts are included in the Conference Proceedings book that each registered conference attendee receives with their registration fee. Workshops provide hardcopy presentation decks onsite, and are often available online prior to the event for registered workshop attendees.
When is my booth deposit due?
You are required to place a deposit in order to secure a hold on a booth for Coal Prep. Full deposit schedule: 10% must accompany all contracts submitted before June 5, 2015. 50% must accompany all contracts submitted on or after June 5, 2015 through January 22, 2016. 100% must accompany all contracts submitted on or after January 23, 2016
How do I obtain an invitation letter in order to get my Visa to enter the United States?
Once you have registered for Coal Prep 2016, letters of invitation are provided upon request. If you are unable to obtain a Visa we will issue a full refund without charging the cancellation fee. Request for invitation letters can be sent through the registration system as you register for your attendee or exhibitor badge. 
What else is there to do in Louisville?
Louisville’s motto is “It’s possible here”, and it most certainly is. In 2016 Coal Prep will held the week before the famed Kentucky Derby, so the city will be alive with activity. What are the package and pricing options for attending Coal Prep?

Can I receive Professional Development Hours (PDH)/Credits for the sessions?
Yes, all workshops and technical sessions grant attendees with Professional Development Hours (PDH). A PDH is one contact hour of instruction or presentation. Attendees receive a certificate of attendance form at the conclusion of each workshop/session. Attendees are responsible for maintaining records to be used to support credits claimed. The PDH’s are approved by The Coal Prep Society of America (CPSA) for continuing education. Please note some Keynote Addresses and General Sessions are also granted PDH’s (depending on the presentation/lecture).
Do exhibitors receive Conference Passes?
Yes, with every 10x10 booth, exhibitors receive 1 complimentary Conference Pass that entitles them to all Technical Sessions. Workshops are not included, but may be purchased separately at a substantial discount for exhibitors. Additional conference registrations may also be purchased by exhibitors as a discount.

What do I get with a standard booth?

  • Draped exhibit space with 8’ back drape and 3’ side drapes
  • Company ID sign including company name and booth number
  • One (1) conference badge per 10’ x 10’ booth
  • Five (5) exhibit only badges per 10’ x 10’ booth
  • Unlimited Guest Passes for your marketing campaign, inviting your clients and prospects to visit your booth
  • Company listing on the on the Exhibitor List included in attendee marketing materials
  • Complimentary online Exhibitor Listing including contact information, link, and a 30-word description
