Dear Exhibitor:

Thank you for participating in Coal Prep 2011. This exhibitor manual has been provided to assist in ordering the services you need and help plan your participation at this year’s show. 

INSTALLATION DEADLINE
Exhibition space must be occupied by 5:00pm on Monday, May 2, 2011. 

Please refer to the new target floor plan in the GES section for check in time.

EXHIBITOR REGISTRATION
Please note that Exhibitor Registration is now open, You can register online at www.coalprepshow.com or by sending in the Exhibitor Registration form on page 87 of the exhibitor manual.

The general contractor’s services are located in the “GES” section. GES services include furniture rentals, carpet, custom booths, material handling, booth cleaning, labor and signs. Place all orders in advance to save money and ensure a timely move in. Orders placed after the deadline will be subject to increased charges and will not be processed until advance orders have been fulfilled. Use the exhibitor checklist following this letter to keep current with important deadline dates.

Onpeak (formerly Travel Technology Group) will assist you in making your hotel reservations and can be reached toll-free or online. Be sure to make your reservations early in order to take advantage of the discounted rates. Refer to the Exhibitor Badges/Hotel & Travel section for all the details.  Please note that all reservations must be made through TTG in order to get the discounted room rate.

Please take a few minutes to read the manual carefully. FIRST TIME EXHIBITORS – see the FAST FACTS pages that follow this letter.  We hope they make the exhibition experience an easier one.

EXHIBITOR MOVE-IN SCHEDULE

INSTALLATION DEADLINE

There will NOT be a pre-show reception on the show floor for 2011 and show  will open at the same timeas in years prior to 2010 – 10:30am on Tuesday, April 27  

Exhibition space must be occupied by 5:00pm on Monday, May 2, 2011.  If not, and Show Management has not been advised of the delay, the booth space will be considered abandoned and to be used at the discretion of Show Management. GES will be authorized to “force set” any display that has not been set by 5:00pm on Monday, May 2.

MOVE IN

ALL EXHIBITS MUST BE COMPLETELY SET AND EMPTY CRATES LABELED BY 5:00PM  ON MONDAY, MAY 2. 
                                                                  

SHOW HOURS

ADVANCE SHIPMENTS TO WAREHOUSE
(Shipments should arrive between March 28 – April 26, 2011)

DIRECT SHIPMENTS TO SHOW SITE
(Shipments should arrive between April 30 – May 4, 2011)
